  • Passport Information (including passport number, nationality, issue/expiry dates, place/country of issue, and a copy/scan where required by an operator or authority)

  • visa and entry/exit documentation details (where relevant)

  • itinerary details (departure/arrival airports, dates and times)

  • passenger manifest details (including for guests travelling under your booking)

  • flight preferences (aircraft preferences, seating preferences, catering preferences)

  • accommodation/ground transport preferences (if arranged in connection with a flight)

  • pet travel information (pet passport/vaccination records where relevant)
     

4.3 Financial, Contractual and Account Data

  • membership and account information (including Protected Hourly Rate details where applicable)

  • Pre-Paid Charter Fund Account details and balances (where applicable)

  • invoices, payment status, and transaction history

  • bank/payment card details (processed by payment providers where applicable)

  • contracts, confirmations and service correspondence

  • communications with you (calls, emails, messages) and related records/notes

  • service feedback, complaints and incident reports

If you provide personal data about other passengers (e.g., colleagues, family members, guests, minors), you confirm you are authorised to do so and that they have been provided with (or will be directed to) this Privacy Policy.

  • you directly (e.g., enquiries, bookings, membership onboarding, manifest forms, emails/telephone calls);

  • authorised intermediaries (e.g., personal assistants, family offices, corporate travel managers);

  • aircraft operators and aviation service partners (e.g., operational updates, incident/service delivery information);

  • payment providers and banks (e.g., payment confirmation and fraud prevention);

  • identity/AML screening providers (where applicable); and

  • automatically via cookies and similar technologies when you use the Website.


6. Our Use of Data (Purposes and Lawful Bases)

  • prevent fraud and protect our business and customers;

  • keep appropriate records and exercise or defend legal claims; and

  • comply with applicable legal and regulatory obligations (including aviation, border/immigration, tax, and AML/KYC where applicable).


6.2 Special Category Data (Health Information) — Explicit Consent

Where we process Health Information (Special Category Data), we do so only where necessary and based on your explicit consent, for the purpose of:

  • ensuring passenger safety;

  • assessing and implementing special assistance requirements (e.g., mobility support, accessibility arrangements);

  • coordinating appropriate in-flight or ground medical-related accommodations with aircraft operators and relevant service partners.

You may withdraw your consent at any time by contacting us at privacy@jetmembers.co.uk. If you withdraw consent, we may be unable to provide certain safety-related accommodations or, in some circumstances, proceed with a booking where the information is necessary to deliver services safely.


7. Third Parties We Share Data With

We may share personal data with third parties where necessary to provide services, comply with law, or operate our business. This may include:

  • Aircraft Operators (to operate the flight, fulfil safety/operational requirements, crew briefings, and mandatory passenger documentation);

  • Ground Handling Agents and fixed base operators (FBOs) (to facilitate departure/arrival services, passenger handling, baggage, and special assistance);

  • Border/Immigration Authorities, customs and other government bodies (to meet legal requirements, including passenger manifests and GAR submissions where applicable);

  • catering providers (to deliver requested catering, including dietary requirements);

  • payment processors and financial institutions (to process payments and prevent fraud);

  • trust account providers (where client funds are held in trust for Pre-Paid Charter Fund Accounts);

  • IT and hosting providers (to operate and secure our systems and communications);

  • professional advisers (legal, tax, insurance, auditors);

  • regulators, law enforcement or courts (where required by law or to protect legal rights).

We require third parties who process personal data on our behalf to protect it, keep it confidential, and use it only for the agreed purpose.


8. International Transfers

Given the international nature of private aviation, personal data may be transferred outside the UK (for example, to operators, handlers, or authorities in your departure/destination countries). Where required, we put appropriate safeguards in place (such as adequacy regulations or contractual protections recognised under UK GDPR).

10. Data Retention

In particular:

  • booking and flight records are generally retained for operational, legal and dispute purposes;

  • passport/manifest information is retained as required to evidence compliance and support service delivery; and

  • financial and contractual records (including invoices, payments, account statements, and contracts/agreements) are retained for 7 years to comply with UK tax and legal obligations.

We may retain certain data for longer where required to establish, exercise or defend legal claims, or where a legal/regulatory obligation applies. We will securely delete or anonymise personal data when it is no longer required.
